Magic Links for Products

Written by Hub Support Team

A magic link lets a learner sign in to your course area without typing a password. In the hub, magic links are generated from the Client Portal, and they can also be sent automatically from your emails and automations. This article explains the three ways to use them and how long each type of link lasts.

Before you start

  • A magic link only signs the person in. It does not give them access to a course. Make sure the contact already has the offer or product access they need, otherwise they will log in and see nothing.

  • Treat a magic link like a password. Anyone who has the link can open the learner's account, so only send it to the person it was generated for.

Option 1: Generate a link for one person

Use this when a learner is locked out and you want to get them in right now.

  1. In the left menu, click Client Portal.

  2. On the dashboard, find the Actions section.

  3. Choose the magic link action and pick the contact.

  4. Click Generate.

  5. Copy the link and send it to the learner by email or message.

The link expires after 15 minutes. A countdown shows how long is left, and the Generate button becomes available again once the link has expired. If the learner did not open it in time, generate a fresh one.

Option 2: Send a login email from the Client Portal

If you do not want to copy and paste, the Client Portal can email the learner a login button directly.

  1. In Client Portal, open Actions.

  2. Choose Login Email.

  3. Select one or more contacts and send.

The learner clicks the button in the email and is signed in without a password.

Option 3: Add the link to emails and automations

For emails that go out automatically, use the custom value Login Url (Magic Link). The hub fills in a unique link for each contact when the message is sent.

  1. Open Automations and create or edit a workflow.

  2. Use a course trigger such as Offer Access Granted, Product Access Granted, New Sign Up, Lesson Completed or Product Completed.

  3. Add an email or SMS action.

  4. In the message body, insert the custom value Login Url (Magic Link).

  5. Save and publish the workflow.

You can insert the same custom value in email templates under Email & Social Media.

Links sent by email expire after 24 hours. If a learner opens an expired link, they will see an expiration page with a Send New Link button. Clicking it sends a replacement link to their registered email address, so they can get back in without contacting you.

Troubleshooting

  • The link says it has expired. Generated links last 15 minutes and emailed links last 24 hours. Generate a new one, or tell the learner to click Send New Link on the expiration page.

  • The learner logged in but sees no courses. The contact does not have access yet. Check the contact's offers in Courses, or grant access with the Course Grant Offer action in a workflow.

  • The email never arrived. Ask the learner to check spam and filtered folders, then confirm the email address on the contact record is correct.

  • You are testing and see every course. If you open a magic link while logged in as an admin, you will see all courses. Test in a private or incognito window with a real test contact instead.

  • Wrong person got in. Never forward a link from one learner to another. Generate a new link for the correct contact.
