Calendar Sync Options

Written by Hub Support Team

Connecting your Google, Outlook or iCloud calendar to the hub keeps your bookings and your personal schedule in step. There are three parts to this: the sync direction, whether hub bookings are written back to your external calendar, and which calendars block your availability. This article explains each option and how to set it.

Before you start

  • Connect your external calendar first. Go to Settings > Calendars, open the Connections tab, click + Add New, choose your provider and sign in. Grant read access at minimum. Grant write access too if you want bookings to appear in your external calendar.

  • You need edit (writer) rights on the external calendar to use it as a linked calendar. Shared calendars you can only view will not work for write-back.

Link a calendar

  1. Go to Settings > Calendars.

  2. Open the hub calendar you want to configure and go to its Calendar Configuration settings.

  3. Under Linked Calendar, click Add.

  4. Pick the connected external calendar and click Save.

The linked calendar is automatically added as a conflict calendar, so events on it block your booking slots straight away.

Choose the sync direction

Open the linked calendar's Advanced Settings and choose one of the following.

  • Default (One Way): appointments booked in the hub are sent to your external calendar. Events from your external calendar come into the hub only as blocked time. No contacts are created and no automations run from those external events. This is the right choice for most people.

  • Two-Way: events move in both directions. Events you create in your external calendar are imported as real appointments in the hub, the guests become contacts, and your Automations can trigger from them just like any other appointment. Use this only if you want external meetings treated as hub appointments.

Write Back Appointments

Write Back Appointments is a toggle in the linked calendar settings. When it is on, every new booking in the hub is written to the external calendar, and cancellations or reschedules made in the hub update it too. Marking an appointment as Showed or No Show does not send an update.

Turn write-back on for one calendar only. If two linked calendars both write back, you will see duplicate events.

Conflict calendars

A conflict calendar blocks time without creating appointments. Use it for a personal calendar or a colleague's calendar that should stop double booking.

  1. In the calendar's configuration, find Conflict Calendars.

  2. Add one or more connected calendars.

  3. For each one, switch on Use as Conflict Calendar and save.

Only events marked as Busy block availability. Events marked as Free are imported but leave the slot open, so check how your external calendar marks all-day events and reminders.

What this looks like when someone books

When a client picks a time, the hub checks the linked calendar and every conflict calendar. Any overlapping slot shows as unavailable. In your Calendars view, external events appear as shaded blocks, hub bookings as coloured events, and blocked time as Unavailable.

Troubleshooting

  • External events are not showing. Edit the linked calendar and make sure Sync Events is on.

  • Clients can still book over my personal events. Edit the conflict calendar and confirm Use as Conflict Calendar is switched on. Also check that the events are marked Busy, not Free.

  • Bookings are not appearing in my external calendar. Turn on Write Back Appointments in the linked calendar settings and save. Confirm the connection was granted write access.

  • Duplicate events in my external calendar. Turn off write-back on all but one calendar.

  • A red banner says the calendar is disconnected. Go to Settings > Calendars > Connections, click Reconnect next to the calendar and sign in again. This is common after a password change.
