If you have a list of contacts in a spreadsheet, you can bring them all into the hub at once instead of adding them one by one. This guide covers preparing your file, running the import, and checking the results.
Before you start
You need Admin access in the hub to import contacts.
Your file must be a .csv. If your list is in Excel or Google Sheets, use File > Download (or Save As) and choose CSV.
Keep the file under 30 MB and make sure it has only one sheet.
The first row must be your column headers (for example: First Name, Last Name, Email, Phone). Do not leave it blank. At least one header should match a field in the hub.
Every row needs at least one of: a name, an email, or a phone number.
Remove spaces, dashes, and letters from phone numbers so each one is digits only.
Remove duplicate rows from your spreadsheet before importing.
If you want to import data into a custom field (such as "Coaching Package"), create that field first under Settings > Custom Fields.
Import your contacts
In the left menu, click Contacts, then click Import Contacts. You can also start from Settings > Import Data.
Choose what you are importing: Contacts only, or Contacts and Opportunities if your file also has pipeline data.
Click Next and upload your CSV file.
Choose the import type:
Create adds new contacts only.
Update changes existing contacts only.
Create and Update does both. The hub matches existing records by Contact ID first, then Email, then Phone.
Map your columns. For each column in your file, pick the matching field in the hub. Columns you do not need can be left unmapped and will be ignored.
If a required field is not mapped, either map it or tick Don't import data for unmapped columns to continue.
Tick Don't update Empty Values if you are updating contacts and do not want blank cells in your file to erase information already in the hub.
Review the mapping and confirm everything looks right.
Optional extras before you finish:
Add a tag to every imported contact (for example "Webinar Oct 2026") so you can find them later.
Create a smart list from the imported contacts.
Add the imported contacts to a workflow in Automations, for example a welcome sequence.
Confirm that you have permission to contact these people, then start the import.
Check the results
In Contacts, open Bulk Actions.
Find your import in the list and click Show Stats to see how many contacts were created, updated, or skipped.
If some rows failed, open the Error tab to see what went wrong, or download the error log, fix those rows in your spreadsheet, and import just those rows again.
Tips
Always add a tag on import. It is the easiest way to review a batch later.
Do a small test with 5 to 10 rows first, then import the full file.
If your file also has deals, include columns for Pipeline, Stage, Status, and Opportunity Name.
If you plan to text imported US contacts, note that SMS in the hub requires A2P 10DLC registration, which needs an enterprise-level upgrade. Ask our support team through the chat widget in the hub and we will request it for you.
Troubleshooting
The file will not upload: check it is a .csv, under 30 MB, with a single sheet and no blank first row.
Rows were skipped: those rows are probably missing all three of name, email, and phone, or have letters or symbols in the phone number.
Columns do not appear in the mapping: the header row may be missing or your file may have more than one sheet.
Duplicates were created: your file may list the same person with different emails or phone numbers. Clean the file and use Create and Update.
Still stuck? Open the chat widget in the hub and our support team will help.
