A booking calendar lets clients pick a time that suits them without the back-and-forth. This article shows you how to create a simple one-on-one calendar, connect it to your personal calendar so you are never double-booked, and share the link.

Before you start

  • Make sure you are added as a user in the hub under Settings > Users. A calendar needs a host, and the host must be a user.

  • Decide how long your appointments are and which hours you are available.

Step 1: Create the calendar

  1. In the left menu, go to Settings > Calendars.

  2. Click + New Calendar.

  3. Choose Personal Booking for one-on-one meetings.

  4. Fill in the details:

    • Name: something clients will recognise, such as "Discovery Call" or "30-Minute Coaching Session".

    • Host: select yourself.

    • Custom URL: review the link ending. Keep it short and readable.

    • Duration: how long each appointment lasts.

    • Available hours: the days and times clients can book.

  5. Click Confirm.

Your settings are grouped into tabs: Basic details, Staff & location, Availability, Booking rules and Advanced settings. If you try to save with a required field missing, the hub jumps to that tab and highlights the field.

Step 2: Set what happens after booking (optional)

  1. Open your calendar and go to Advanced settings > Form & confirmation.

  2. Under Confirmation page, choose whether to show the default thank-you or redirect to a page of your own, such as a "what to expect" page built under Funnels & Pages.

Step 3: Connect your personal calendar

This stops clients booking over your existing commitments.

  1. Go to Settings > Calendars and open the Connections tab.

  2. Under Connected Calendars, click + Add New and choose Google, Outlook or iCloud.

  3. Sign in and grant permission.

  4. Back in your booking calendar, under Linked Calendar, click Add and pick the connected calendar, then Save.

Linked calendars are used as conflict calendars by default, so busy events block those times. Turn on Write Back Appointments in the linked calendar settings if you want new bookings to appear in your personal calendar too. Only do this on one calendar to avoid duplicates.

On the Video Conferencing tab you can connect Zoom or Google Meet so a meeting link is added automatically.

Step 4: Share your booking link

  1. Go to Settings > Calendars and open your calendar.

  2. Click Share in the top-right corner.

  3. Choose an option:

    • Copy Link: your permanent booking link. Paste it in emails, your email signature, social bios or anywhere else.

    • One-Time Link: a single-use link for one person. It stops working after it is booked.

    • Embed Code: HTML you can paste into a page built under Funnels & Pages or any website.

    • Preview: see the calendar exactly as a client will.

Sharing does not change your existing links. Only creating a new one-time link makes a new link.

Step 5: Add confirmation and reminder emails

  1. Go to Automations and create a new workflow from a recipe.

  2. Choose Appointment Confirmation + Reminder.

  3. Open the confirmation email action and update the meeting details or link.

  4. Review the reminder timing, then save and publish.

If you want reminders by text message to US numbers, sending SMS from the hub requires A2P 10DLC registration, which needs an enterprise-level upgrade. Ask our support team through the chat widget in the hub and we will request it for you.

Tips

  • Check that the time zone on your connected calendar matches your profile under Settings > My Profile. A mismatch is the most common cause of "wrong time" bookings.

  • If a red Reconnect banner appears on the Connections tab, your personal calendar login expired. Click Reconnect and sign in again.

  • Add personal calendars (family, gym) as conflict calendars so those slots are blocked too.

  • Test your calendar by booking a slot yourself through the Preview link, then mark that appointment Invalid so it does not affect your reports.

Still stuck? Open the chat widget in the hub and our support team will help.
